Stop Making A Project For Every Task
The Reason Your Claude Account Feels Chaotic
A member of my AI cohort showed me her Claude account this week.
She had 14 projects.
Q2 launch
YouTube titles
Newsletter ideas
Lead magnet copy
Welcome sequence
And so on…
The context docs she’d carefully built lived in one project. The chats where she was actually doing the work were in another. The voice style doc was in three places, slightly different in each.
Here’s the rule I gave her:
Organize projects by function, not by task.
A task is something you do once. “Write the May launch sequence.” Done. Move on.
A function is something that shows up across a hundred tasks. Writing voice. Sales and marketing. Operations. Strategy.
Functions earn their own project. Tasks just live inside one.
When the writing voice project has your About Me, your style doc, your top performing posts, your interaction rules — it can write a newsletter, a LinkedIn post, a YouTube script, a sales email. Same project. Same voice. No re-uploading.
This sounds like a small organizational choice. It isn’t. It’s the difference between a Claude account that gets sharper every month and one that just gets cluttered.
Fewer projects. More function. Cleaner brain.
